Group Hotel Operations & Contracts Manager
TravelAdvocates is a B2B group travel services company that books hotels for thousands of groups each year. TravelAdvocates is seeking a Group Hotel Operations & Contracts Manager to assist with a growing number of key leisure accounts, with tasks including: RFP requests via email, typing up hotel rate options in an email to present to clients, submission of rooming lists and credit card authorizations to hotels by pre-set deadlines, and assisting with hotel contract review and entry of bookings into the company's main database (Excel, Access, Quick Base). This job is full time located in our Hoboken NJ headquarters office.

You will be assisting the Director of Contracting in a team effort to service nearly 600 groups per year. Your daily tasks will include contacting hotels to receive rate proposals for future group stays, assisting with negotiating the best rates and contract terms for our clients, composing emails with hotel rate options to present to clients based all over the world, and ensure all hotel contracts have been countersigned by all parties. You will also log these details into the company's database (Excel, Access, Quick Base).
The ideal candidate will have prior hotel experience specifically as a hotel operations or sales manager or sales coordinator who has handled a group rooming list or group room block details. If you don't have hotel experience, you should have group tour operations or meeting/conference experience where you negotiated hotel room rates for room blocks or coordinated groups in some fashion. A great candidate might have neither of these skill sets but come from the legal contracting world (2 of your 9 teammates are attorneys). We only book groups (no FITs) so coming to us with some sort of group hotel knowledge would be helpful.
This person must be self-motivated, detail-oriented, and have a strong sense of urgency as we are heavily deadline-driven. This person must not require a lot of oversight as we do not enjoy managing others. Instead, we hire strong proven leaders who we fully train and then allow them to self-manage as long as projects get completed correctly and on time. Accuracy and speed are very important. This person must be a multi-tasker and be able to handle many different projects at any given time. To be successful, this person must be extremely fast on the PC, a fast typist, and quick on Word, Excel, and Outlook. Bonus points go to the candidate who has prior competitive athletic team experience - someone who is used to attending athletic practices and competitions, being given tasks, adjusting to various roles and deadlines, and excelling under pressure.
Our Hoboken office offers a casual, fun atmosphere with beautiful views of Manhattan. We wear shorts and t-shirts in the summer and casual wear all other months (we rarely have to dress up). The office is easily accessible via NJ Transit/PATH/Light Rail. Compensation includes health benefits, 401k with company match, paid time off, and travel related benefits. This is a full time salaried position with the opportunity to earn an end of year bonus based on your performance and contributions to the team.
